Position Summary: We have an exciting opportunity to join our team as an Administrative Coordinator.
In this role, the successful candidate is responsible for coordinating and supporting administrative activities of the simulation center, ensuring efficient administrative operations.
Provides basic to moderate coordination of Program activities to the Assistant Director of Operations that includes but not limited to: Coordination of Program while working/communicating with internal and external parties to organize and coordinate the various components needed to initiate, run and conclude program activities. Develops Program schedules, prepares, process, and tracks Program related purchase/supplies requisitions, reimbursements, expense reports, and related invoice payments
Coordinates the day-to-day operational activities including but not limited to supply/inventory/equipment management, scheduling, and regulatory compliance as necessary
Supports the Assistant Director of Operations in problem solving and project planning/coordination to ensure efficient service
Independently prepares and review documents, and generates status/progress reports for ongoing and pending Project/Program which may include moderate analysis of findings.
Outlines agenda, plans and prepares presentations, and composes a variety of memos and letters.
Reviews, edits, and obtains appropriate approvals.
Responds to routine correspondences and refers non routine items to the appropriate party.
Follows protocols as defined by the Medical Centers policies and procedures.
Assists in the recruitment and training of NYSIM staff, standardized patients, assistants, trainees and volunteers.
Reviews workflow and might recommend improvement if applicable to ensure appropriate cycle times and efficiency.
Organizes and coordinates schedules of activities and special events.
Participates in special events and activities.
Coordinates conference preparation activities (checking and coordinating the logistics and technical support, making food and beverage arrangements, etc) and other related activities
Completes meeting minutes and agendas as required
Coordinates the administrative efforts of all simulation center sites including but not limited to space and equipment
Develops policies, procedures and systems which ensure productive and efficient administrative operations.
Maintains schedules/calendars and handles telephone communications; evaluates incoming and outgoing correspondence and prepares responses as appropriate
Organizes and facilitates meetings, conferences, and other special events, as required, including identifying needed resources and arranging for required support (i.e. Technical, A/V, etc) for meetings and events
Researches and analyzes data related to utilization of the center's resources
Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office
Prioritizes and follows up on incoming issues to the simulation center operations including those of sensitive or confidential in nature. Determines appropriate course of action, referral, response or escalation
Serves as a liaison between simulation center operations and teaching faculty and external customer base
Supports the implementation of policies and procedures of the simulation center to govern the administration and operations of scheduling and code of conduct of educational programs
Perform periodic review if resources (space, staff and equipment) to create utilization reports and analyze optimal utilization and performance
Develop operational workflows to ensure that customer needs are addressed on a timely basis and ensures that processes are repeatable and redundant
Performs other duties as assigned.
Minimum Qualifications: To qualify you must have a Bachelor's Degree required with 2 years of relevant experience, or the equivalent combination of education and experience. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred). Ability to multi-task and/or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.
Preferred Qualifications: Previous experience administering office operations in a healthcare setting preferred.
