The Senior Specialist, Global Events is responsible for all aspects of planning and special event organization, evaluating participation business cases and ROI for both on-site and off-site activities for the Firm. This incumbent will be responsible for all amenities and accommodations at the event as well as any associated contract negotiations, while representing the Firm in a professional manner. Daily tasks will be demanding and varied, requiring the ability to deal with ambiguity and changing priorities efficiently and calmly
Duties and Responsibilities:
Organizes end-to-end meeting and event coordination for various on-site and off-site events held throughout the Firm, including but not limited to:
Annual Firm Meetings
Leadership Summits and Focus Groups
Negotiates, reviews, and coordinates the legal approval of vendor contracts, including meeting and hotel space, food and beverage, etc.
Conducts thorough due diligence with requestors, to ensure needs are fully understood before proposals/business cases are prepared and presented.
Handles budget preparation, analysis, review and approval prior to making commitments to requestors or vendors.
Coordinates internal and external communication with attendees of events, unless otherwise directed by requestor.
Ensures all logistics are running smoothly by being present on-site at appropriate points during events.
Problem-solves and resolves issues that arise during the course of event planning, or the event itself, to ensure successful execution.
Reviews and reconciles invoices, ensuring events hold to approved budget parameters.
Maintains records of all events held, including feedback on venues and logistics, to facilitate successful future events.
Facilitates post-event debriefs with key stakeholders, to discuss successes and opportunities for improvement.
Organizes and prioritizes multiple tasks and projects, and completes them under time constraints, following through on issues in a timely manner.
Demonstrates keen attention to detail and outstanding organizational skills, as well as strong grammar, spelling, and proofreading skills.
Demonstrates strong communication skills, both written and orally, including phone and presentation skills.
Demonstrates strong problem-solving and escalation skills.
Performs other duties as assigned.
Education and Experience:
Bachelors degree and five years of relevant event planning experience; or equivalent combination of education and experience. Event management certification a plus.
To perform this job successfully, an individual must have advanced skills in Microsoft® Word, Excel, Access, PowerPoint, Outlook, and Internet navigation and research.
Certificates and Licenses:
Valid drivers license required.
This position has no supervisory responsibilities.
