The basic purpose of this work is to provide clerical support to the Mail Room, Shipping & Receiving and Copy Center areas of the College. This position will maintain files and records; answer telephones; prepare and mail outgoing correspondence or parcels; prepare correspondence, forms, files, and reports for processing, storage, or forwarding; answer inquiries; operate standard office machines and equipment; and perform related work as required.
Receives, sorts and distributes incoming mail, memoranda, packages, etc. to appropriate individuals;
Examines outgoing mail and packages for appearance, sealing envelopes and tying parcels when necessary; weighs outgoing mail and packages on scales; and determines correct postage based on weight and destination; and applies proper postage to such mail by hand or by using a postage meter.
Operates standard office machines and equipment such as photocopiers, other copying machines, file retrieval equipment, postage meters, package tracking tools, calculators, binders, collators, perforators, folders, shredders, and similar equipment;
Operate specialized office machines or equipment requiring training by the manufacturer prior to use;
Completes assignments in the Copy Center/Mail Room and Shipping/Receiving areas as directed;
Maintains records and logs of items received, issued and shipped including description of articles, type and other identifying information in accordance with established procedures;
Performs related duties such as loading and unloading items to and from trucks; maintaining general appearance of stockroom; weighing, materials and equipment to other locations using hand trucks;
Provides guidance and routine information to personnel in the policies and procedures for the Copy Center, Mail Room and Shipping & Receiving areas;
Locates and withdraws information from records by using electronic data display terminals, searching files, etc. in order to respond to inquiries or requests by supervisor;
Posts information to logs or records according to prescribed procedures;
Files material such as correspondence, reports, applications, claim record cards, etc. in accordance with a prescribed classification system;
Other duties as assigned.

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.*
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*
III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*
*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

Ability to determine the proper format and procedure for assembling items of information.
Knowledge of Federal laws, rules and regulations governing postal services;
Ability to explain the rules, policies and procedures governing activities in the Copy Center, Mail Room and Shipping & Receiving areas;
Excellent communications and interpersonal skills;
Proven ability to work as part of a team;
Experience using Microsoft Office Suite, including Word and Excel;

Salary Range: AFSCME Unit 1, Grade 11 Step 1: $37,074.44 annually. Appointments from outside the bargaining unit begin at Step 1 of the range.
