The Division of Enrollment Management leverages data and insights to identify challenges IUPUI faces, as well as develop and implement a strategy that leads to the University's viability. We do this from the perspective of enhancing the experience of our students from the point of recruitment through graduation.
The Division of Enrollment Management (DEM) is comprised of the Office of Undergraduate Admissions, Office of Student Financial Services and Scholarships, Office of the Registrar, Office for Veterans and Military Personnel, Division of Enrollment Management (DEM) Finance and Administration, DEM Technology Services, DEM Marketing Research and Analytics, DEM Strategic Enrollment Initiatives Outreach and Partnerships (SEIOP), Indiana University Fort Wayne Student Central and Office of IUPUI and Ivy Tech Coordinated Student Programs (Passport). In addition to IUPUI, the Division of Enrollment Management oversees the recruitment, enrollment, and retention efforts of our sister campus IUPUC.
Indiana University Purdue University Indianapolis (IUPUI) seeks a strategic and innovative thinker to lead the Office of the Registrar. Reporting to the Associate Vice Chancellor for Enrollment Management and Chief Enrollment Officer, the Registrar manages a team of 20 staff to develop and implement administrative policies, procedures and technology to facilitate the timely, accurate, efficient and innovative provision of services such as:
enrollment eligibility, registration, classroom assignment and renovation planning
building and publishing the schedule of classes, course maintenance, academic advising reports and degree maps
degree processing, diploma production, grades processing and dissemination
academic record maintenance, transcript production and related income reconciliation
experiential and applied learning record coordination and availability to students
athletics eligibility and enrollment/degree certification
This position requires the individual to exercise independent judgement and react to, respond quickly to numerous situations. This individual must exercise good judgement in working with the leadership of the other Division of Enrollment Management directors as well as campus partners to insure that strategies and initiatives are well-informed and consistent with best practice, industry standards, federal, state and university regulations. Frequently this position will be required to analyze innovations or new methods and determine their applicability to existing organization practices. This position may be called upon to represent the Division of Enrollment Management and IUPUI in a variety of settings. This individual will be routinely expected to gather information, data, ideas and develop strategies to implement new processes or policies and to coordinate new projects and initiatives related to enrollment management as well as the responsibilities of the Office of the Registrar.
Primary Duties and Responsibilities:
Coordinate office functions withs system wide systems, policies, and USSS activities. Implement innovative approaches to accomplish campus initiatives.
Direct the Office of the Registrar for the IUPUI campus. Responsible for strategic planning and coordination of this unit responsible for enrollment policy and management, registration, records, certification, data analysis and student privacy in compliance with Indiana University, state and federal regulations. Develop and implement administrative policies, procedures and technology to facilitate the timely, accurate, efficient and innovative provision of services such as enrollment eligibility, registration, classroom assignment and renovation planning, building and publishing the Schedule of Classes, course maintenance, academic advising reports and degree maps, degree processing and diploma production, grades processing and dissemination, academic record maintenance, transcript production and related income reconciliation, experiential and applied learning record coordination and availability to students, report production, athletics eligibility, and enrollment/degree certification.
Work collaboratively with academic officers and campus, institutional, state and national partners on complex issues in support of academic policies and processes related to registration, records, and enrollment planning. Contribute to deliberations with academic units in ensuring compliance with policies and procedures pertaining to the academic calendar, grading policies and practices, enrollment, academic performance, commencement and the awarding of degrees. Provides strategic leadership, planning and the allocation of resources for the Office of the Registrar.
Contribute to overall resource planning for maintenance, future developments, cross-modular collaboration and support, and problem solving for integrated student information systems. Provide leadership for innovations including reallocation of human resources, facilities, information technology, and implementation of communication plans, and budget for the Office of the Registrar and across the Division of Enrollment Management responsibility center. Implement innovative approaches to accomplish campus initiatives.
Maintain detailed inventory of campus academic programs, majors, specializations, concentrations, certificates in compliance with the Indiana Commission for Higher Education and Indiana University Board of Trustee policies as well as campus policies related to the approval of new or changing degrees. Coordinate with IU Studios and central IU partners to assure accurate and complete reporting of approved IUPUI degrees and certificates. Assist academic units, as needed, in accreditation reviews by providing relevant degree program documents and information.
Maintain working knowledge of and operate within all relevant institutional, conference, and NCAA rules and regulations governing student athletes and attend related educational events; report all rules violations, or information concerning a rules violation, to the Assistant Athletic Director for Compliance immediately. Chair student-athlete appeals committee and collaborate with faculty athletic rep to certify student-athlete eligibility.
Develop and implement strategies to enhance the professional development of the staff within the division consistent with emerging directions. Engage in campus, regional, and national profession discussions related to best practices and benchmarking of enrollment management strategies. Engage in professional development activities consistent with the duties of this position. Represent the division and IUPUI in a variety of forums.
Master's degree and ten years of experience in higher education, student services, or strategic enrollment management with demonstrated leadership of complex operations.
Combinations of education and related experience may be considered.
Excellent communication, organizational, analytical, consensus building, and research skills. Knowledge of the traditional functional areas in enrollment management. Knowledge of university administration and fiscal policies. Excellent writing and presentation skills with an established record of professional engagement. Ability to build consensus especially as it relates to human resources and the use of technological operations with consideration for appeal and efficiency. Ability to operate in a complex, fast-paced environment which requires attention to both human and technical resources. Ability to assess risk and assume responsibility for short and long-range planning while working collaboratively with department leads and campus stakeholders. Eager to acquire new knowledge and promote high standards for quality and accountability.
Five years of experience in a leadership role of an enrollment management functional area in a large research university with an emphasis on a broad scope of administrative experiences. Experience with operations which support services for the university student with focus on retention, persistence, engagement, student success and graduation.
Working Conditions / Demands
Position requires extreme mental concentration, attention to detail, and excellent organizational skills to balance competing demands and priorities in a fast-moving, collegial environment. Ability to work with distractions and interruptions concurrently on multiple projects adds another dimension of stress.
Travel and evening and weekend involvement is expected.
