GENERAL SUMMARY / OVERVIEW
The Senior Grant Specialist is an active member of the Research Support Services (RSS) division within the office of Research Management (RM). RSS was established to provide Partners Hospital's Research Departments and external clients with expert and high quality research administration assistance whether for special projects, oversight of complex programs, to fill gaps due to vacancies, or training. The Grant Specialist will proactively address the demands of research grant administration within Partners Departmental and/or external clients by providing exceptional customer service to the client's distinguished research investigators and collaborators in their pioneering efforts in science and medicine.
This position is primarily involved in filling Department Administrator vacancies across the Partners entities and is assignment-based. The individual may be engaged in multiple obligations, including both short-term and long-term commitments across various Partners and external clients. Assignments range across the entire grant life including but not limited to proposal preparation, post-award management, financial analysis and process improvement. The individual may be the primary point of contact for Principal Investigators and Department Administrators at the Hospital Department level and/or may work alongside other Department Administrators.
PRINCIPAL DUTIES AND RESPONSIBILITIES
1. Train and mentor new Specialists on grant administration and service delivery. 2. Support clients with interim staffing for their vacancies, or during high-volume and peak periods, including taking responsibility for the following: • Proposal development, including coordination of collaborator documentation, entry into the Insight system, review of compliance information and/or final submission to the central RM office, including development of complex Request for Proposals (RFPs) and Broad Agency Announcements (BAAs) • Progress report and just-in-time preparation for submission to the central RM office • Conduct financial analysis of research funds to identify over-spending, accelerated spending, subcontractor invoicing, salary charges, and spending patterns to ensure compliance with Sponsor and internal policies • Identify salary allocations to be submitted through PeopleSoft ensuring expense is commensurate with actual effort on the project, and that all necessary justifications and backup are obtained • Oversee subcontractor collaborations both administratively and fiscally • Submit equipment requisitions through PeopleSoft with inclusion of all necessary justifications, including sole source or competitive bids as required • Submit journal entries to RM with inclusion of all necessary justifications and backup • Prior approval requests including for a change of PI, change in scope of work, extension requests, and re-budgeting requests • Collaborate across other Department personnel including Administrative Directors, Administrative Coordinators, Research Assistants, Laboratory Staff • Serve as liaison between Department's Research Administration, Principal Investigators and the central RM office 3. Conduct analysis of a client's research operations, including • Identify areas for process improvement within a client's research operations and work together with the client to implement changes • Identify areas where system or software changes could be leveraged. • Provide overall project management for specific research initiatives • Train client personnel on aspects of the grant lifecycle, including (for internal clientele) Partners processes and systems
Qualifications ••Minimum of 4 years of experience in a professional research administration setting (hospital, non-profit organization or university) is required • Experience in working across the entire research grant lifecycle (pre-award, post-award, research finance) • Bachelor's Degree in a related field is required SKILLS/ABILITIES/COMPETENCIES
• Requires strong organization and communication skills with a key focus in customer service • Must possess the ability to thrive in a busy, high-volume, and deadline driven team environment • Ability to coordinate multiple activities and have the flexibility to reprioritize tasks as needed • Extensive knowledge and resourcefulness with program administration guidelines of Federal and non-Federal funding agencies supporting biomedical research • Experience with a broad range of award mechanisms, including grants, contracts, subcontracts, and cooperative agreements • Proficiency in Microsoft Office Suite • Excellent problem solving skills • Excellent verbal and written communication skills
