General Summary/ Overview: The Grants and Contracts Project Specialist is an active member of the Mass General Brigham central research management office and is committed to identifying and adhering to best practices in grants and contracts administration, while upholding the highest standards of integrity and fiduciary responsibility. They will proactively address the demands of research grant administration by providing exceptional customer service to Mass General Brigham's distinguished research community and collaborators in their pioneering efforts in science and medicine. The Project Specialist is a unique position whose responsibilities will adjust based on the team's priorities and successful outcomes in targeted process improvement areas. This position will support process improvement initiatives focusing on project management and communication. The Project Specialist will also be responsible for managing an assigned workload of various grants and contracts related activity. Initially the individual will focus on contracting and will provide support for process improvement in this area. Over time we anticipate the position will be deployed to other priority operational and financial focus areas within Research Management. The successful candidate will be provided the opportunity to rapidly increase their technical knowledge by obtaining exposure to and experience in the management of the grant life cycle. We anticipate the grants and contracts responsibilities will complement and inform the process improvement project management responsibilities. Principal Duties and Responsibilities: Contracting Support • Draft and issue outgoing new sub-award agreements to collaborators with directive from PI and department. • Review incoming agreement modifications to confirm proposed changes are appropriate. Negotiate, with guidance from manager or Senior GA, as necessary with sponsors. • Draft and issue outgoing agreement modifications to collaborators. Research Management Operational and Project Support • Develop project plans and coordinate timelines and deliverables for special projects as assigned. • Coordinate project related communication strategy. • Schedule and facilitate project related meetings. • Prepare and present project updates to senior leadership. • Manage relationships across Research Management teams and the Mass General Brigham research community. • Triage support across other teams within Research Management as needed. • Actively manage assigned grant related activity, which may include account activation and setup, sponsor outreach and negotiation, financial analysis, contracting support and employee salary allocations. • Utilize Insight, MicroStrategy and PeopleSoft queries and reports to measure and manage workflow effectively and efficiently. • Assume additional responsibilities as assigned. Qualifications 2-4 years experience in grants or sponsored projects administration in an academic setting (hospital, non-profit organization or university) is preferred, or other relevant work experience. Bachelor's Degree preferred. Related experience in research administration may substitute for the college degree. Skills/Abilities/Competencies: Must possess the ability to thrive in a busy, high-volume, and deadline driven team environment that requires coordination of multiple activities and the judgment and flexibility to reprioritize tasks as needed. Requires strong organization skills with a focus on customer service and interpersonal relationships. Excellent verbal and written communication skills and the ability to summarize and condense information into actionable format. Strong proficiency in Microsoft Office Suite, specifically PowerPoint and other project management tools. Exceptional problem-solving skills.
