This position provides an opportunity to transition from other private, public, government or military environments to a 3M career.
Serves as a first level resource for office operations, site analysis and systems support.
As an Operations Administrator , you will have the opportunity to tap into your curiosity and collaborate with some of the most innovative and diverse people around the world. Here, you will make an impact by manage daily office operations including daily financial functions, site supply ordering, shipping and receiving, metrics and systems data reporting, support reservation functions, maintain regulatory systems and assist with visitors and vendors. Be direct support for 3M hosts, guests, staff, management, and vendors to procure and provide resources to match site specific needs. Help manage assigned inventory and supplies. Handle problems and make decisions within the chain of command by identifying proper solutions and selecting an alternative course of action. Provide guidance to co-workers regarding routine support duties. Assist in analyzing and creating customized business reports and handle special requests related to customers, direct work group/team and service. Comply with 3M business ethics and guidelines and client satisfaction.
Primary Responsibilities include but are not limited to the following:
Office operations and site analysis
Serve as the accounting contact for assigned business operations including expense vouchers, site bill pay, verification and journal entry.
Shipping, receiving, ordering, and inventorying site supplies.
Financial system maintenance, training, and reporting.
Handle customer inquiries, requests and complaints, customer training, phone support and messaging in a professional capacity.
Support procedures within functional disciplines including but not limited to:
Installing necessary operating systems, applications, hardware and software on user desktops.
Troubleshooting and identifying basic problems occurring with desktops, servers, network connections, network resources, peripherals, etc.
Monitoring quality of hardware performance, and correct or escalate as appropriate.
Monitoring availability status and queues, responding to client requests for services and complete work according to priorities.
Maintain system software function and programs for Management and site requested reports.
Assist in analyzing customer service support.
Train employees on the use of customer service systems.
Identify and eliminate repetitive problems within standard administration procedures.
Continuous development to ensure and enhance skills consistent with divisional training programs allowing growth to handle a variety of existing and new systems.
Ability to work independently and set priorities.
Ability to handle a variety of activities, conditions, processes, and operations.
Offer suggestions for improvement to methods and processes. Most complex problem solving may require gathering facts, analyzing the information, generating reports, and determining the appropriate solution from multiple options.
Act as the department support expert and exchange information with an audience typically knowledgeable in the subject area.
Provide guidance or training to co-workers within the same work group on routine support duties.
Actively participate in relevant corporate programs/initiatives, comply with professional and quality standards, comply with corporate policies and procedures and act in a manner consistent with 3M's values and ethical standards.
Your Skills and Expertise
To set you up for success in this role from day one, 3M is looking for candidates who must have (at a minimum) the following qualifications:
High School diploma/GED or higher (completed and verified prior to start) from an accredited institution
One (1) year of experience in customer service in a private, public, government or military environment.
Additional qualifications that could help you succeed even further in this role include:
Technical diploma/Associates degree or higher from an accredited institution
Regular and predictable attendance is a required part of this position.
Demonstrates ability to complete assignments in an accurate and timely manner. Also required are coordinating, advanced verbal and written communication skills, manual skills for file organization and maintenance, as well as interpersonal skills.
Experience in all Microsoft Office applications.
The employee primarily uses broad knowledge of computer programs (software or mainframe) and knowledge of administrative activities and office operations to effectively manage duties. Required knowledge of planning basics involved with all aspects meetings, conferencing and logistics.
