The Impact You'll Make in this Role
As a Proposal and Contract Administrator you will have the opportunity to tap into your curiosity and collaborate with some of the most innovative and diverse people around the world. Here, you will make an impact by:
- Reports to the Senior Proposal and Contract Manager and works closely in a team environment with subject matter experts comprised of legal, finance, marketing, sales, business team members, quality, transportation, manufacturing, and customer service
- Works with moderate direction, identifying issues/problems or potential contractual requirements or risks to the business
- Reads and understands solicitation instructions and summarizes requirements for business discussion and decision making. Provides proposal lead role, which includes organizing, managing, content responsibilities, in addition to identifying and protecting 3M's intellectual property
- Develops outline, schedule, and compliance matrix for proposals/bids
- Produces templates and outlines of proposal sections. Coordinates and compiles proposal content based on input from team members. Reviews proposal sections/content for compliance to RFP requirements. Coordinates proposal production, printing, and shipping
- Assists in the logistical coordination of client presentations and development of presentation materials as needed
- Manages all aspects of the contract lifecycle, from contract negotiations, execution, amendments, modifications, renewals and extensions; implements in accordance with standard operating procedures.
- Identifies and resolves contracts issues, system issues, process needs; performs analysis and makes recommendations for resolution; provides appropriate, timely escalation of issues
- Performs other administrative department functions as necessary
Your Skills and Expertise
To set you up for success in this role from day one, 3M is looking for candidates who must have (at a minimum) the following qualifications:
- Bachelor's degree or higher (completed and verified prior to start) from an accredited institution
- Three (3) years of combined experience in one or more of the following areas: proposal coordinator, contract administrator/negotiator, customer service, communications, marketing, training, pricing, project management, legal and/or sales
Additional qualifications that could help you succeed even further in this role include
- Bachelor's degree or higher in Communications, Marketing, Business, or Law from an accredited institution
- Strong analytical and communication skills, with the ability to interact professionally with all levels of the organization
- Proficient in Microsoft Word, Excel (e.g. PivotTable, VLookup, Formulas, etc.), SharePoint, OneNote, Teams, and PowerPoint
- Experience with government procurement proposal/bid processes and contract management, including public sector transportation and/or the motor vehicle industry
- SAP, Vendavo, Salesforce, and Lotus Notes experience
- Ability to complete work assignments based on strict customer defined timelines and deadlines, working comfortably under pressure
- Must demonstrate initiative and ability to anticipate and problem-solve independently
- Ability to handle confidential information
- Project management experience
