Under the supervision of the Dean of Admissions, the Enrollment Software Specialist will assist with analyzing current practices and improving processes within the Admission CRM, Slate, while also assisting other areas of Enrollment Management with their data systems. This position requires a high level of accuracy to ensure that each potential student receives correct correspondence from Molloy and the Admissions Office. This individual will also serve as one of the primary Jenzabar SIS users in the admissions office. They will assist all Enrollment Management teams with functionality in the Admission CRM and data reconciliation between Admission CRM, Jenzabar SiS, PowerFAIDS, CAS systems and others. Advanced knowledge of Slate and Jenzabar is preferred.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Enrollment Management Systems Maintenance and Improvement:
- Collaborates with the admission personnel to create, improve, and maintain processes within the admission CRM.
- Updates portals and other front facing elements of CRM.
- Maintains documentation for processes within the CRM.
- Provides trainings for Molloy personnel involved in the admission process.
- Assists in updating reports and queries for users within the admission CRM.
- Build, manage and maintain integrations between enrollment management systems (Admissions CRM, Jenzabar, PowerFAIDS, CSDCAS, On Base and others). This includes working in third party systems, developing APIs, and utilizing other connection tools.
- Performs periodic system updates and maintenance, as well as coordinating cycle prep, to ensure the system is up to date.
- Enrollment Data Management:
- Provides reports and data to consultants and other partners as needed.
- Works with senior admissions staff to reconcile data between Jenzabar and Admission CRM.
- Collaborates with IT and senior admissions staff to maintain data integrity.
- Communicates directly with key stakeholders across campus, primarily including Enrollment Management, IT, and Institutional Effectiveness.
- Assists in coordinating reporting with Institutional Effectiveness for IPEDS and any other necessary reports.
- Data Processing:
- Audits data to ensure that all information is correct in each of the Enrollment Management systems, with a focus on Slate and Jenzabar.
- Releases admission decisions on a biweekly basis after reviewing and cleaning the records.
- Collaborates with Admissions Operations team to coordinate all aspects of processing and maintaining records for all prospects, inquires and applications for prospective undergraduate and graduate students.
- Reviews source materials for completeness and resolves problems related to incomplete or inaccurate data.
- Imports lists and applications from various partners and vendors.
- Generates queries and reports, using advanced knowledge of Slate and Jenzabar to ensure clean records, data integrity, and clean processes.
- Assists with various other daily Operations tasks on an as needed basis, including consolidating duplicate records, retrieving and maintaining transcripts and test scores, managing inventory for physical mailings/materials, etc.
PERIPHERAL DUTIES
- Attends office and university meetings. Participates in professional development opportunities such as conferences, workshops, and meetings. Attend seminars when needed.

- Bachelor's Degree
- Two years of office experience or training primarily in data entry and information processing or college admissions
- Advanced knowledge of Slate and Jenzabar is strongly preferred
- Excellent skills in Microsoft (Office, Excel, PowerPoint, Word, Outlook)
- Possess a superior level of attention to detail.
- Possess a high degree of professionalism and strong organizational and time management skills.
- Ability to handle frequent interruptions and multi-task.
- Ability to handle sensitive information and maintain confidentiality.
