The Clinical Operations and Business Analytics Team (COBA) is expanding and looking for problem solvers who want to drive administrative savings back to patient care and research. COBA is a subdivision of the Dana-Farber Cancer Institute (DFCI) Informatics and Analytics department led by the Chief Data and Analytics Officer that is responsible for building a world class analytics environment, enabling measurability and transparency of key institute KPIs for improved decision making.

Reporting to the Lead of Business Intelligence & Analytics Operations, the Program and Knowledge Manager will be responsible for both program and knowledge management operational duties within Clinical Operations and Business Analytics (COBA) team. This position is a foundational role working with all COBA leadership and teams to develop enterprise capabilities of scalable, tech-enabled processes and knowledge assets. This position will also collaborate with other functions within the Department of Informatics & Analytics (I&A), like the Enterprise Data Warehouse (EDW) team, and others across DFCI.
PRIMARY DUTIES AND RESPONSIBILITIES:

Knowledge Management
- Develop a framework for institutional knowledge management system to enable user-friendly population and findability for DFCI analytic assets: business definitions, dashboards, data sources, models, subject area marts, data governance
- Select appropriate tools and applications to implement the knowledge management system
- Design and lead pilot(s) for the knowledge management system
- Collaborate with COBA leadership to develop robust and lightweight knowledge management processes with clear RACI to enable the population of new analytic assets in the knowledge management system
- Design, implement, and lead effort to populate existing assets in knowledge management system
- Maintain system and keep up to date
- Surface data governance implications and collaborate with COBA leadership to address

Program Management
- Collaborate and consult with COBA leadership to ensure consistent adoption of the COBA operating model across all teams; track departmental and team progress towards goals and milestones
- Develop resource allocation and project tracking, and consistent mechanisms for demand intake, quality control and client service
- Collaborate with the Business Intelligence & Analytics Technical & Advance Operational Analytics Lead to develop and implement operational technical processes, for ex., promoting dashboards to production, keeping track of business intelligence platform licenses, integration of predictive model output with Tableau dashboards
- Develop and execute standardized reports for COBA Senior Director to regularly track departmental progress (goals, projects, dashboard usage)
- Steward annual budget process in collaboration with COBA leadership; collect requirements, project cost estimations, track spending towards budget; collaborate with the I&A operations manager to align departmental budget process
- Advise and support administrative and operational colleagues on operational tasks like requisitioning, invoicing, tracking payments, preparing and maintaining contracts and SOWs with vendors, conducting vendor research, coordinating vendor selection, as needed
- Manage standard operating procedures (SOPs) for talent acquisition function e.g. steps for recruiting at different levels, RACI of different team members at various steps, feedback mechanisms, decision criteria
- Ensure uniformity and maintain up to-date files for job descriptions and career cladders across COBA
- Implement and execute a voice of the customer and employee feedback programs that enable continuous listening, learning, action planning and follow-through; collaborate with COBA leadership to develop action plans based on learnings from feedback and monitor progress on action planning execution
- Provide forward and innovative thinking on program management approaches and processes for a scalable enterprise Business Intelligence function
Training and Communications
- Enhance and maintain COBA presence across websites (internal and external). Maintain content on internal COBA wiki pages
- Design and implement portal as single access point for COBA customer service that can be used to submit new requests, get access to analytic assets and the knowledge management system, access the enterprise business intelligence platform
- Develop COBA newsletter; collaborate with COBA leadership to create content and disseminate quarterly
- Refine and streamline departmental standardized processes and COBA operating model curriculum content, training materials and scheduling.
- Maintain and enhance onboarding curriculum
- Develop consistent communication strategies to be implemented across COBA
- Develop and maintain crowdsourced FAQ site for COBA team
- Provide consultation to COBA team via office hours specific to role expertise
- Develop scalable curriculum and processes, including knowledge assets, that can be used by others for training, learning, and development. Participate in communities of practice and provide content, for ex., COBA skills and COBA lab
- Provide forward and innovative thinking on knowledge and content management tools and practices for enterprise Business Intelligence
MINIMUM JOB QUALIFICATIONS:
- Bachelor???s degree in relevant field (finance, accounting, business, science, technology, engineering, mathematics, communications) required
- 5 years of experience developing and building knowledge and program management capabilities for an enterprise business intelligence team
- Demonstrated experience collaborating with leaders and colleagues across multiple groups and influencing tangible outcomes
- Hands-on proficiency in business intelligence reporting (Tableau, Power BI, other) and querying techniques (SQL, SAS, STATA, other) preferred
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Experience coordinating and collaborating with multiple Technical groups (including IT and EDW teams) and stakeholder groups.
- Excellent communication and interpersonal skills; ability to communicate effectively with all levels of the organization.
- Experience interacting with and supporting executive-level clients.
- Ability to work successfully, with diplomacy, patience, and respect, and maintain focus in a complex, fast paced environment with competing priorities
- Able to independently supervise the development and presentation of complex business issues analysis and resolution
- Ability and desire to mentor others and manage resources in both direct and matrix reporting environments
- Self-driven, flexible, and motivated to learn with great organization skills
