Detailed Description: The Academic Advisor for Engineering Programs in the Shiley-Marcos School of Engineering (SMSE) is responsible for providing professional student-centric, academic advising to declared, and undeclared, students pursuing degrees in engineering and computer science. The advisor provides students with guidance on academic and curricular requirements, university and school policies, and course planning to assist students with fulfilling graduation requirements. The advisor serves as an academic advising resource for faculty advisors and academic departments in interpreting academic policies and regulations. They develop and maintain academic advising resources that are student and advisor facing. The advisor also serves as a primary collaborator with campus offices and other academic units to ensure that SMSE student needs are effectively addressed and resolved.
Duties and Responsibilities:
Providing individual academic advising
Assist continuing students to understand graduation requirements and develop a plan of study to effectively achieve educational and career goals.
Mentor students through academic-related decisions and related impacts of adding/dropping classes, selecting majors/minors, study abroad timing, and summer/intersession course selection.
Assist students in interpreting academic policies and regulations (e.g. core curriculum requirements, navigating registration procedures, and transferring courses).
Manage the onboarding of incoming transfer students by evaluating transcripts, preparing Pre-USD articulation documents, holding one-on-one advising appointments, and referring advanced students to appropriate department faculty.
Prepare communication to international ministries requiring documentation of individual student progress and plans.
Provide academic support to lower division students returning from academic disqualification or returning to the University as a readmitted student.
Coordinate evaluation of international transcripts for SMSE students.
Use Degree Works, Banner Admin, Salesforce, and Cognos to monitor student progress, facilitate problem resolution, and share information with campus partners.
Serve as primary liaison to students for academic advising questions received from prospective and continuing students via SMSEadvising@sandiego.edu.
Supporting program and faculty advising efforts
Assist faculty advisors in interpreting academic policies and regulations including degree requirements, registration procedures, and course articulation.
Collaboratively design, schedule and deliver general, and department-specific group advising sessions for SMSE majors, prospective students, and student onboarding events.
Maintain existing academic advising resources and collaboratively develop and implement new resources, initiatives, and programs to address identified student needs related to academic advising.
Develop and use spreadsheets to analyze data in support of student advising and to answer questions about SMSE students for faculty and administrators.
Work directly with the dean, associate dean, and assistant dean to develop, revise, create and enforce school and University policies and procedures related to academic advising.
Working with campus partners
Provide resources and referrals to connect students to relevant University departments, programs and services as needed (e.g. Center for Student Success, Counseling Center, DLDRC, Career Development).
Proactively work with College of Arts and Sciences and Knauss School of Business Dean's Offices, One Stop Student Center, Registrar, Degree Works team, transfer analyst, ITS/BLISS team to serve students and streamline business processes.
Serve as SMSE's partner in First-Reg, managing the enrollment of first-year students interested in SMSE majors including LLC selection, math placement, AP confirmation, and bulk registration of spring LLC courses.
Work with the New Student Orientation Team to coordinate SMSE participation in Transfer Student Orientation.
Collaborates with the International Scholars Office on initiatives to support international Students
Represents SMSE on university committees that contribute to sustaining academic success (e.g. Persistence Response Team, Honors Convocation committee, Undergraduate/Graduate Schools ITS committee).
Coordinates SMSE efforts to support recruitment events that support campus office (e.g. Admissions, Military and Veterans Programs, Student Support Services).

Job Requirements: Minimum Qualifications:
Bachelors Degree
Two years of counseling and/or advising experience working directly with diverse demographics in an academic setting
Strong communication skills including ability to present to diverse audiences; clearly express ideas and explanations in writing; and effectively listen to others
Strong interpersonal skills; ability to respectfully interact with and be sensitive to individuals of diverse backgrounds and students experiencing anxiety over academic matters.
Preferred Qualifications:
Masters degree preferred.
Two years of experience in undergraduate academic advising.
Familiarity with engineering curricula.
Experience in working at a higher education institution and understanding of student support structures.
Experience using software including student information systems (eg Banner 9, COGNOS), CRM (eg Salesforce), and degree audit tools (eg Degree Works)
Performance Expectations: Knowledge, Skills and Abilities
Ability to access and use resources such as websites, databases and media materials preferred to access student records needed for advising desired
Ability to work independently, self-organize and prioritize workload and meet deadlines dictated by the academic calendar and individual student needs.
Ability to use MS Word, Excel, PowerPoint, and Visio to develop and share advising materials.
Ability to use Banner, Cognos, Salesforce, and Degree Works to find information needed to support student and faculty questions.
Ability to perform analysis and planning requiring high attention to detail.
Ability to develop procedures to support student advising, access appropriate resources, and maintain accurate records of transactions.
Ability to maintain professionalism, confidentiality, and privacy per FERPA as appropriate in interactions with students, their supporters, faculty and staff.
Ability to work cooperatively with all levels of administration and staff, faculty and students to meet SMSE goals.
Ability to creatively resolve problems matching the solution to particular student circumstances.
Ability to manage multiple projects and assignments in an efficient and effective manner; able to meet deadlines and provide accurate results.
