TheAdministrative Assistant II provides administrative support to theReading/Writing Center, Math/Science Center, Accessibility Resources Center, TransitionalScholars Program, Peer Tutoring Program and Testing Services on the Framinghamand Wellesley campuses. The Administrative Assistant II will assist with theday-to-day operations of the Academic Achievement Center, which includeassisting with the administration of college placement testing, entering andmaintaining data, filing and organizing materials, and providing front-lineinformation to students, faculty, and staff. This position will also serve as ageneral reception for a variety of student services. Meetings and testadministration at the Wellesley or Ashland campuses or at offsite locations maybe required.
Key Responsibilities and Duties:
(General AAC) Peer Tutoring, Math/ScienceCenter, Reading/Writing Center, and Accessibility Resources:
- Utilize, maintain, and update the scheduling software program, (TracCloud) used to make and track appointments for specialists and peer tutors;
- Conduct synchronization of student information from MassBay's student information database to TracCloud system;
- Prepare and process all student employee hiring documentation;
- Prepare expenditure summaries for Peer Tutors and other student employees;
- Maintain tutoring records, including hours worked, requirements, and qualifications;
- Assist with end-of-semester report on usage of Center services;
- Assist with Peer Tutor training and maintaining training records;
- Instruct peer tutors and note-takers in use of Academic Achievement Center general office procedures; and,
- Assist with financial requisitions, invoicing, and purchase orders for the Academic Achievement Center and Accessibility Resources.
Placement and Testing Services:
- Administer tests, on campus or online to students for placement, make-up exams, challenge exams and other college related exams;
- Conduct synchronization of test results with MassBay's student information database;
- Maintain security and access for placement, makeup and all college test materials;
- Implement procedures and regulations governing the administration of tests;
- Monitor and update testing materials;
- Maintain public information concerning the testing program, including the placement testing and workshop websites and placement test voicemail box;
- Track placement testing and workshop attendance; and
- Assist with maintenance of the testing database.
Office Management:
- Assist with special events for the Academic Achievement Center;
- As requested, serve on hiring and other college committees;
- Monitor inventory of office supplies and place orders as necessary;
- Implement and update filing systems;
- Ensure office equipment, including copiers and printers, are properly maintained;
- Offer generalized support and reception for a variety of student service areas (especially on the Framingham campus); and
- Perform other related duties.

Required Qualifications:
Applicants must have atleast (A) three years of full-time, or equivalent part-time, experience inoffice management, office administration, business administration or businessmanagement, the major duties of which included one or more of the followingfunctions: purchasing, personnel management, budgeting, accounting, recordsmanagement, work simplification, grants management, contract administration orprogram management, or (B) any equivalent combination of the requiredexperience and the substitutions below.
Substitutions:
I. An Associate's or higherdegree with a major in business administration, business management or publicadministration may be substituted for a maximum of two years of the requiredexperience.*
II. An Associate's or higherdegree with a major other than in business administration, business managementor public administration may be substituted for a maximum of one year of therequired experience.*
*Education toward such adegree will be prorated on the basis of the proportion of the requirementsactually completed.
QualificationsRequired at Hire:
- Experience with copiers, printers, and PCs, including spreadsheet and word processing packages, i.e. Microsoft Office;
- Ability to learn new computer programs quickly and to instruct others in their use;
- Demonstrated ability to establish rapport and maintain harmonious working relationships with college community and with external agencies;
- Ability to work both independently and collaboratively in various settings;
- Ability to exercise discretion in handling confidential information;
- Excellent verbal and written communication skills and ability to give instructions;
- Customer service skills and personnel management skills.
Preferred Qualifications:
- Sensitivity and commitment to the goals of Affirmative Action and workforce diversity;
- Experience working in a diverse environment;
- Demonstrated commitment to working with underserved students;
- Community College experience desirable.
Additional Information:
Salary Range: AFSCME Unit I, Grade 17 Step 1 $52,906.62 annually. Appointmentsfrom outside the bargaining unit begin at Step 1 of the range.
