Key Relationships: Works under the leadership of the Office of Student Engagement under the Director of Financial Aid and Student Engagement and the Associate Director of Student Engagement. Works alongside the Retention Committee, Dean of Students Office, Student, Life, Diversity, and Leadership Office, Academic Deans, and Program Directors.
POSITION OVERVIEW
Claremont Graduate University seeks a flexible, dynamic, student-centered team member to join the Office of Student Engagement. This position will be an integral member of a cross-unit functional team supporting CGU's prospective and continuing students in partnership with a designated University academic unit(s) and the University's recruitment and retention teams. This individual will serve as part of a university community committed to providing a diverse student body with an exceptional student experience.
This student support specialist will report to the Associate Director of Student Retention & Engagement and work with a high-performing team that supports students across the graduate student journey. They will work in collaboration with various offices across campus in support of student success, including but not limited to an assigned academic unit(s), in partnership with the University's Enrollment Services Division and with Student Affairs, Student Services, and Academic Professional Development offices to ensure the retention of prospective and continuing students at Claremont Graduate University (CGU). The portion of time spent in the core functions will vary by academic unit and will depend upon school and university needs.
DESCRIPTION OF DUTIES AND RESPONSIBILITIES:
ESSENTIAL JOB FUNCTIONS
The student support specialist will be part of an integrated student success and outreach team. In addition to serving a specialized academic area(s), the student support specialist may be asked to serve additional academic areas when work volume or enrollment strategies dictate.
In support of admissions and recruitment activities serving new students:
Supports and assists with school-based recruitment and admissions staff and school personnel in serving incoming students. Conducts outgoing outreach campaigns during critical moments of the year (primarily via phone) to prospective students at the applicant, admitted, deposited, matriculated, and enrolled statuses through the point of orientation. Works with recruiters to initiate and track high-volume, high-touch outreach to generate deposits and event attendance. Serves as an interviewer, tour guide, and brand ambassador as needed.
In support of academic unit(s) serving prospective and current students:
Conducts outgoing outreach campaigns to help enhance the student and alumni experience. Helps to implement, analyze, and address student satisfaction and exit survey results. Supports academic unit(s) as needed in the advising and registration processes for new or continuing students (i.e., setting up appointments, conducting new student advising or registration webinars, outreach with students with registration holds). Assists school staff in teaching students about school and University processes and procedures. Engages new and continuing students throughout the summer to prevent â˜melt' and attrition. Supports and partners with academic unit(s) to help identify, recommend, develop, and implement retention initiatives, including charges from the University's Retention Committee. Partners with the academic unit(s) on outreach initiatives, resource distribution, event marketing, and logistics, etc., to ensure school personnel has sufficient time to meet additional school priorities; serve as departmental representatives in key committees and policy and process development across the institution; and help enhance school-based advising and other student experiences as needed. Partners with academic unit(s) to identify, create, and manage co-curricular student activities that support their engagement, persistence, and retention.
In support of student success:
Helps monitor and meet school or departmental enrollment, outreach, and retention goals.
Assists with developing and implementing targeted outreach and engagement campaigns (primarily via phone) as needed (i.e., incomplete applicants, deposited students, first-year experience, doctoral studies, withdrawn students, alums).
Assists with student-facing event planning (i.e. open houses, admitted student days, orientation, research symposiums, co-curricular programming).
Design and execute small and large-scale student engagement events for prospective, new, and continuing students.
Provide creative and cost-effective ideas for events organization and programming.
Establishes meaningful relationships with university offices, school staff, and faculty and gains knowledge of university and academic offerings, services, and policies, including financial aid.
Communicates and problem-solves with empathy and accuracy following school and university practices; helps assess and address financial and other student risk factors and makes recommendations and referrals as appropriate.
Ensures accuracy of student records and uses campus technology solutions to record and report on student data as business practices dictate.
Provides aggregate data and student-level detail using established institutional tools, databases, and guidelines.
Assists the Financial Aid Office, when needed, with responding to general inquiries, fellowship processing, retention initiatives and campaigns, outreach efforts, and coordination for financial literacy and debt management events and website support.
ADDITIONAL ENROLLMENT SERVICES FUNCTIONS:
In addition to serving the core functions, each incumbent will be assigned enrollment management and student success specialty areas to support the specific needs of their academic unit and the global needs of the University. Specialty project areas may include, but are not limited to:
Outreach Campaign/Call Center, Ambassador/Peer Mentor Program Development (i.e., peer mentors, faculty ambassadors, alum ambassadors), Marketing/Communication (i.e., writing/editing; web site content collection and management; newsletters; social media; blogs), Financial Aid, Fellowship, and Affordability Counseling and Services Enrollment Systems, Data Management/Analysis, and Evaluation/Assessment of Co-curricular programming and student engagement Events Planning and Coordination.
Closely working with students to connect and engage them with academic, co-curricular, and student success resources.
Work with the Office of Student Life, Diversity, and Leadership to assist with messaging and responding to student inquiries regarding their medical record forms, health records, and enrolling/waiving out of insurance.
Advise student organizations, clubs, and student leadership opportunities.

HOURS: The regular hours for this position are 8:30 AM to 5:00 PM, Monday through Friday. During heavy outreach and contact campaign periods, hours will be shifted to 10 AM-6 PM, 11 AM -7 PM, 12-8 PM, or 1-9 PM, as campaigns dictate. This position is on-site, but with supervisor approval, it can be worked remotely up to 1 day per week.
Other evening and weekend outreach campaigns and event participation may also be required.
CLASSIFICATION AND STATUS: Full-time benefits-based, hourly position.
