Job Description:
Administrative Assistant to the President
Serve as confidential assistant to the President providing executive administrative support to the President and managing the work of the President including but not limited to the President's calendar, travel arrangements, meeting logistics and support; presidential communications.
The salary for this position is $70,000
Supervision Received: Reports directly to the President and Chief of Staff
Summary of Duties:
Provide a full range of executive support to the President, including: active organization of her schedule; preparation of daily briefing materials; oversee the President's office email account, arrangement of travel and meeting logistics; transmission of presidential communications to internal and external stakeholders; management of confidential materials.
Manage correspondence for the President, prepares draft responses, and tracks timely follow-up when designated to other staff to ensure that objectives are met.
In consultation with the Chief of Staff, addresses and triages student and community concerns ensuring timely and proactive follow up and feedback; sharing timely information with all members of the staff.
Assist with day-to-day operations of the President's Office, ensuring proper assistance is offered to students, employees and guests in a welcoming environment.
Ongoing tracking and prioritization of incoming issues and queries from faculty, staff, students, and external entities, working to ensure timely follow up and resolution. In partnership with the Special Assistant to the President gather pertinent information and synthesize briefing materials for the President.
Build and maintain the President's office electronic filing system.
Manage formats, materials, and agendas of the President's individual and group meetings with senior leadership.
Manage communications and logistics for important campus visitors in partnership with the Special Assistant to the President
Manage the President's financial record keeping and reporting.
Manage signing and tracking of all incoming and outgoing documentation signed by the President.
Other duties and responsibilities assigned.
Requirements:
Minimum Qualifications:
Bachelor Degree, or equivalent, and 3 years of experience in executive level, office administrative support.
Ability to work in a complex and highly dynamic environment.
Demonstrated strong organizational and interpersonal skills.
Demonstrated strong professional communication skills both verbal and written with a wide range of constituencies and stakeholders.
Demonstrated, progressive experience in managing a complex office, successfully managing multiple priorities, and creative, proactive problem solving.
Ability to prepare effective and appropriate correspondence.
Thorough knowledge of word processing software and report and presentation software, i.e. Google suite.
Ability to properly manage confidential information in a professional manner.
Ability to establish and maintain effective and respectful working relationships with all groups in the college and community.
Ability to respond to common inquiries or concerns from a wide range of stakeholders.
Ability to effectively interpret data, manage resources and present information.
